Add calendar events from a message or email with AI
Turn an email, invitation or chat message into calendar events with an AI assistant, check dates and time zones, and approve each event before it’s saved.
To add calendar events from a message with AI, paste the message into an assistant and ask for a draft list first. Check each date, time and time zone against the message, let the assistant add the events one at a time, then confirm them in your calendar app.
This guide covers messages you can copy as text, not sending invitations or setting up repeating events. Mono by Reunified can add events to your device’s calendars from a chat and asks first by default, but any assistant with calendar access works.
1. Pick the right tool for the message
| Option | Good for | Access it needs |
|---|---|---|
| Events your mail app detects | Booking and ticket confirmations | Your mail, inside that service |
| Your calendar’s create form | One event you type yourself | Nothing extra |
| An assistant with calendar access | Several events or relative dates | Adding events, often reading and changing too |
With smart features on, Gmail adds events for reservations and ticketed or registered events, but not from mailing lists or email you’re cc’d on. Write access often covers changing and deleting events too, so grant only what the task needs.
2. Ask for a draft list before anything is saved
Here’s a made-up school message, received on Monday 2 November 2026:
Swimming competition on Saturday 14 November, 9:30 to 12:00 at Riverside Pool.
Parents' briefing the Thursday before at 18:00 on a video call. Bring a towel.Paste it with this request:
Draft calendar events from this message. Don't add anything yet.
It arrived on Monday 2 November 2026.
For each event: title, weekday and date, start, end, time zone,
place or link, notes, source line. Write "Not stated" for gaps.Always give the message’s date, or “next Friday” may be counted from today. Mono reads it against your device’s current date and time zone.
3. Check each field against the message
| Field | What to check | Expected here |
|---|---|---|
| Date and year | Counted from the right day; weekday matches; year from the message’s date | Competition Sat 14 Nov 2026, briefing Thu 12 Nov |
| Start and end | Timed, not all-day; “Not stated” where missing | Competition 9:30 to 12:00; briefing 18:00, no end |
| Time zone | The event’s zone, not yours while traveling | The school’s local time |
| Place | Venue as the place, call link in notes | Riverside Pool |
A draft with the briefing on Thursday 19 November is wrong: “the Thursday before” Saturday 14 November is the 12th.
Fill gaps yourself: give the briefing 30 minutes, put “Bring a towel” in the competition’s notes, and add the call link once the school sends it. A December message saying “Tuesday 5 January” means next year. The fact-checking guide applies this check to other answers.
4. Let the assistant add one event at a time
With calendar access on, name the calendar (family, not work) and ask the assistant to add one event at a time, with an alert an hour before. Without it, type the checked draft into your calendar yourself. Keep the corrected draft open while you approve: an approval prompt may not show the event. A pasted message can also carry instructions aimed at the assistant, so deny any action you didn’t ask for. In Mono:
- “Calendar & reminders” in Settings > Chat, under This device, is on by default.
- Adding, changing and removing events follow Settings > Permissions > Tools > Mutation, which starts at Ask. The card asks “Allow Mono to use Add to calendar on this device?” without the event’s title, date or time. With Mutation on Allow, no card appears.
- Add to calendar sets title, start, end, place, notes, calendar, all-day and one alert, but no repeat or separate time zone.
- On Windows, Mono adds events only to its own calendar. A custom text model can’t use these tools.
For an event in another time zone, set its zone yourself: in Google Calendar on a computer, More options > Time zone; in Calendar on a Mac, turn on time zone support in Calendar > Settings > Advanced, then set it per event.
5. Check the events in your calendar app
The assistant saying “added” doesn’t mean the details are right. Open your calendar app and check each event’s date, times, calendar and alert, then check it on another device or the shared family calendar.
Look for duplicates from a repeated request or your mail app. Fix a wrong field by editing the event, not by adding it again.
6. Handle changes and cancellations
If the competition moves to 21 November, ask the assistant to move the existing event, not add a new one, then check it. Mono’s Change a calendar event keeps the event’s alerts and calendar.
For a cancellation, check whether a removal affects one date or the series. Mono’s Remove from calendar removes only the occurrence it was given; when you delete a repeating event yourself, read which choice you’re making.
For tasks rather than events, see meeting notes to action items. Mono isn’t available yet, but you can join the waitlist.
